TERMS AND CONDITIONS – NEXA – NAIL EXPERT ARENA COMPETITION
These Terms and Conditions govern participation in the NEXA – Nail Expert Arena event, organized by GlamSpace SRL, CUI: 48467028, located în Tg. Mures, Mures, str. Piața Republicii 6 in partnership with Anubis Events SRL, CUI 42370300, located în Ludus, Mures, str. Garofitei 8, here în after referred to as the “Organizers.” By accessing the official website or registering for the competition, the participant agrees to these terms and conditions. The Organizer reserves the right to modify this document at any time and will communicate updates publicly through official channels.
1. General Information about the Event NEXA is an event dedicated to professionals in the manicure industry and beauty enthusiasts, including a live competition, educational sessions, exhibitors, and networking activities. The competition will take place physically and will also be streamed live online.
2. Eligibility and Participation Conditions
● The competition is open to individuals who are 16 years old or older at the time of registration.
● Participation is allowed for both individuals and legal entities (e.g., schools, academies, salons).
● Registration is done exclusively online by completing the form available on the official platform.
● Payment of the participation fee is required for the registration to be valid.
● The registration fee is non-refundable except in cases of force majeure as described by law, or if requested by email within 7 days from registration.
3. Payment and Invoicing
● Payments are processed securely through Netopia.
● We reserve the right to cancel a registration if payment is not completed.
● If payment is not confirmed, the organizer reserves the right to cancel the registration.
3. B) CANCELLATION POLICY
● Cancellation of registration is possible within 7 calendar days of payment, provided the registration is not made less than 30 days before the event date.
● After this period, the participation fees are non-refundable, except in cases where the event is canceled by the organizer.
● Refunds will be processed within 30 days from the approval of the refund request, to the account from which the payment was made.
5. Event Modification or Cancellation
● Why it’s important: Provides protection in case the event is reconfigured, postponed, or canceled due to unforeseen reasons.
● The organizer reserves the right to modify, postpone, or cancel the event for objective reasons (e.g., force majeure situations, extreme weather conditions, failure to meet legal requirements, etc.). In case of major changes, participants will be notified in due time. If the event is canceled, the refund policy mentioned in section X will apply.
6. Competition Rules
● Each participant is required to comply with the competition rules, which will be communicated officially after registration.
● Participants who fail to respect professional ethics or the established rules may be disqualified without reimbursement of the registration fee.
● The event will take place physically at the location and time announced on the official channels.
● The organizer may change the date or location of the event, with prior notice to participants.
● Participants must comply with the regulations of each competition round, as well as the decisions of the jury, which are final and irrevocable.
7. Data and Payment Security, Responsibility
● All payments are secured and processed via the Netopia platform, which uses advanced encryption standards.
● We do not store credit card data on our servers.
● The organizer is not responsible for events that may occur outside its control (e.g., technical issues, personal accidents, loss of property).
● The organizer ensures a safe environment, but recommends that each participant be responsible for their own belongings and health.
7b. Delivery
● All products or services purchased through our website are delivered exclusively in digital format.
● Delivery Method:
● Delivery is made via email to the address provided by the customer during the order process. Please ensure your email address is complete and accurate.
● Estimated Delivery Time: Once the payment is confirmed, the digital products or services will be delivered within a maximum of 24 hours, depending on the nature of the order. In most cases, delivery is instant or occurs within a few hours after payment processing.
● Delivery Confirmation: A confirmation email will be sent automatically to the provided address, containing the order details and, where applicable, the relevant files or download links for the purchased product/service.
● If you do not receive the delivery email within the estimated time, please check your “Spam” or “Promotions” folder. If it’s not there, don’t hesitate to contact

8. Personal Data Protection (GDPR)
● By completing the registration form, the participant acknowledges that they have read and understood the privacy policy and explicitly consent to the collection and processing of their personal data by the Organizer for the following purposes: ○ Administration and management of registration for the NEXA competition;
○ Communication related to the organization and execution of the event, including messages via email, SMS, or other digital channels;
○ Sending informational and promotional materials about future events, partners, brands, and offers from the Organizer (for direct marketing purposes);
○ Automatic subscription to the NEXA newsletter, with the option to unsubscribe at any time;
○ Creation of internal reports and statistics, in anonymized format, to optimize participants’ experience.
● The organizer commits to comply with the applicable legislation (EU Regulation 2016/679 – GDPR) and to ensure the confidentiality, integrity, and security of the collected personal data. Data will not be sold or transferred to third parties, except for partners involved in the proper execution of the event (e.g., payment platform, newsletter provider, etc.).
● Data Retention Period: Data will be retained for the duration necessary to fulfill the purposes outlined above, but no longer than 5 years from the last interaction with the participant, except where required by law.
● Participant Rights: According to GDPR, participants have the following rights: ○ The right of access, correction, or deletion of personal data;
○ The right to withdraw consent at any time;
○ The right to object to and restrict processing;
○ The right to data portability;
○ The right to file a complaint with the National Authority for the Supervision of Personal Data Processing (ANSPDCP).

11. Image Rights, Visual Materials & Intellectual Property (Revised) By participating in the NEXA event, each participant agrees that their image (photo/video) may be captured and used by the organizer for promotional and archival purposes.
The organizer reserves the right to use, edit, and distribute visual materials taken during the event (photos, videos, interviews, etc.) through their communication channels: social media, official website, promotional materials, newsletters, or other online and offline media, without the obligation to provide financial compensation to participants.
Participants who do not wish to be photographed or filmed must notify the organizer in writing prior to the event. In the absence of such a request, consent is considered implicit.
12. Liability The organizer is not responsible for lost or damaged items during the event. Participants are responsible for the equipment, materials, or models used during the competition.
13. Force Majeure The organizer is not liable for delays or cancellations caused by force majeure events, including but not limited to: earthquakes, floods, fires, pandemics, government decisions, wars, protests, or other uncontrollable circumstances.
14. Agreement Regarding Submitted Materials (for the Competition) By submitting any material to participate in the competition (images, files, texts), participants guarantee they own the rights to the material and grant the organizer a non-exclusive right to use it for event promotion.
